Include only useful contact fields

A vCard QR code works best when it contains a clear name and one or two direct contact methods. A phone number, email address, organization, title, and website are often enough for a business card or event badge.

Avoid filling every possible contact field just because the format supports it. More data makes the QR code denser and can expose information that does not need to travel with every copy of the image.

Separate public and private details

Before printing a vCard QR code, decide whether the card is public, client-facing, internal, or temporary. A public card may need a general email address and website, while an internal badge may include a direct phone number.

If a code will be placed on a poster, window, slide deck, or downloadable profile, assume it can be saved and shared beyond the original audience.

• Use role-based email addresses for public surfaces when appropriate.
• Avoid personal phone numbers on wide-distribution material unless that is intentional.
• Regenerate the code when a role, company, phone number, or website changes.

Test how devices display the contact

Different camera apps and contact apps can show vCard fields differently. Some may preview only the name and main contact method, while others expose more fields before saving.

Scan the code on the devices your audience is likely to use. Check that the name is readable, the phone and email fields land in the expected places, and the website opens correctly.

Keep the printed design scannable

Contact cards often have small layouts, textured paper, and decorative brand colors. Keep enough contrast between the modules and the background, and avoid placing the code over a pattern or image.

If the code looks crowded, remove optional contact fields or increase the printed size. A simple, reliable contact code is better than a complete code that people struggle to scan.
